1. About These Terms

These Conference Registration Terms & Conditions ("Terms") apply to registration for conferences, meetings, and related events organised by or on behalf of Biofeedback Federation CIC ("BFE", "we", "our", or "us").

By registering for a BFE conference or meeting, you agree to these Terms.

Additional terms may apply to a particular event and will be provided on the relevant meeting website or during the registration process. Where event-specific terms differ from these general Terms, the event-specific terms will apply.

2. Registration and Payment

Registration arrangements may vary from event to event.

Where registration and payment are processed directly by Biofeedback Federation CIC, the BFE will be responsible for administering the registration and will be the contracting party for the registration.

For some conferences, particularly those held outside the United Kingdom, the BFE may work with an authorised local partner organisation to administer registration and payment. In those circumstances, the partner organisation may be the contracting party for the registration and payment transaction and may have additional terms and conditions that apply.

Where a partner organisation administers registration or payment, the relevant arrangements will be identified during the registration process.

3. Registration Confirmation

Your registration is confirmed when:

  • the registration form has been successfully completed;

  • payment has been received or an approved payment arrangement has been established; and

  • you have received a registration confirmation or other confirmation from the BFE or the organisation administering registration.

Please check your confirmation carefully and contact us promptly if any information is incorrect.

Registration is generally personal to the individual named on the registration unless a transfer or substitution is permitted under Section 7 of these Terms.

4. Registration Fees

Registration fees and available registration categories will be published on the relevant meeting website.

Fees may vary depending on factors such as:

  • registration category;

  • BFE membership status;

  • early-bird or other promotional periods;

  • student or trainee status;

  • location or eligibility for regional rates; and

  • the date on which registration is completed.

The registration fee applicable to you will be the fee displayed at the time you register.

Where applicable, taxes or other charges will be identified during the registration process.

Early-bird rates are available only during the stated early-bird registration period and cannot normally be applied retrospectively to registrations made after the deadline.

5. What Registration Includes

The specific benefits included with registration will be described on the relevant meeting website.

Depending on the event and registration category, registration may include access to:

  • scientific and educational sessions;

  • workshops or other educational activities;

  • conference materials;

  • social or networking activities;

  • exhibition areas; and

  • other activities identified as included in the registration fee.

Some workshops, special events, meals, or other activities may require an additional fee or separate registration.

6. Programme and Speaker

Changes We make reasonable efforts to deliver the programme as advertised. However, programmes are subject to change.

The BFE reserves the right to make reasonable changes to:

  • speakers and presenters;

  • session content;

  • workshops;

  • session times;

  • room assignments;

  • programme schedules;

  • event format; and

  • other aspects of the meeting.

Such changes do not normally entitle a registrant to a refund where the overall conference remains substantially as described.

We will make reasonable efforts to communicate significant changes to registered attendees.

7. Cancellation, Refunds, and Registration Transfers

Cancellation and refund arrangements will be stated on the relevant meeting website and may vary by event.

Where the BFE is administering registration directly, cancellation requests should be submitted using the contact information provided for the event.

Refunds, where applicable, will generally be made using the original payment method.

Some registration fees may be non-refundable after a specified date because of commitments made by the BFE to venues, suppliers, speakers, or other service providers.

Where permitted by the event's registration terms, a registered attendee may request to transfer their registration to another individual. Any conditions, deadlines, administrative fees, or restrictions applying to substitutions will be stated in the event-specific information.

Where registration is administered by a local partner organisation, that organisation's cancellation, refund, and transfer terms may apply.

Nothing in these Terms limits or excludes any statutory rights that cannot lawfully be excluded or limited.

8. Cancellation or Postponement by the BFE

The BFE reserves the right to cancel, postpone, relocate, or substantially modify a conference or meeting where circumstances make this necessary.

Such circumstances may include, but are not limited to:

  • venue or supplier issues;

  • insufficient registrations;

  • serious health or safety concerns;

  • government restrictions;

  • travel restrictions;

  • natural disasters;

  • political or civil disruption;

  • technical or infrastructure failures; or

  • other circumstances beyond the BFE's reasonable control.

If the BFE cancels an event, we will communicate the available options to registered attendees. Depending on the circumstances, these may include transfer of registration to a rescheduled event, participation through an alternative format, or a refund.

The specific remedy will depend on the circumstances of the cancellation and any commitments or costs already incurred.

Where registration and payment were administered by a partner organisation, refunds or other financial arrangements may be subject to that organisation's terms.

9. Circumstances Beyond Our Control

The BFE will not be responsible for failure or delay in performing its obligations where this results from circumstances beyond its reasonable control.

Such circumstances may include natural disasters, severe weather, epidemics or pandemics, government action, war, terrorism, civil unrest, strikes, transportation disruption, venue closure, major technical failures, or other events that could not reasonably have been anticipated or prevented.

We will make reasonable efforts to minimise disruption and keep registered attendees informed.

10. Photography, Video, and Recording

BFE conferences and meetings may be photographed, filmed, or recorded for purposes including:

documenting the event;

educational activities;

future BFE communications;

promotional materials;

social media; and

archival purposes.

By attending a BFE event, you acknowledge that you may appear incidentally in photographs, video, or other recordings of the event.

Where photography or recording is intended to focus specifically on an individual or group, the BFE will make reasonable efforts to provide appropriate notice or obtain consent where required.

If you have particular concerns about being photographed or recorded, please contact the BFE event team.

Separate arrangements may apply to the recording or distribution of presentations and educational sessions.

11. Presentation and Educational Materials

Presenters and other contributors retain ownership of their original intellectual property unless otherwise agreed.

By submitting materials for presentation at a BFE event, presenters grant the BFE the permissions reasonably necessary to organise, promote, document, and conduct the event.

Any additional permission required to record, reproduce, publish, or distribute presentation materials will be addressed through the relevant presenter or speaker arrangements.

Attendees may not record, reproduce, distribute, or commercially exploit presentations, workshops, or other educational content without the permission of the presenter and/or the BFE, as appropriate.

12. Code of Conduct

The BFE is committed to providing a professional, respectful, and inclusive environment for all participants.

Attendees, speakers, exhibitors, sponsors, volunteers, staff, and other participants are expected to behave professionally and respectfully toward others.

Unacceptable behaviour may include harassment, discrimination, intimidation, threatening behaviour, disruptive conduct, or other behaviour that interferes with the ability of others to participate safely and comfortably.

The BFE reserves the right to take reasonable action in response to inappropriate behaviour, including asking an individual to leave an event without refund where appropriate.

Additional event-specific conduct requirements may be provided to attendees.

13. Health, Safety, and Accessibility

We aim to make our meetings accessible and welcoming to all participants.

If you have accessibility, dietary, or other requirements that may affect your participation, please provide the relevant information during registration or contact the BFE event team as early as possible.

Some information provided for accessibility, dietary, or other event-related purposes may constitute personal information and will be handled in accordance with our Privacy Policy.

Attendees are responsible for taking reasonable care of their own health and safety and following venue and event safety requirements.

14. Professional and Educational Disclaimer

BFE conferences and meetings are educational and professional development events.

Information presented by speakers, presenters, exhibitors, sponsors, or other participants represents the views of the relevant individual or organisation and does not necessarily represent the views of the BFE.

The inclusion of a particular product, service, technique, study, organisation, or presentation does not necessarily constitute an endorsement or recommendation by the BFE.

Attendees are responsible for determining how information presented at an event may appropriately be applied within their professional practice and for complying with applicable professional, regulatory, and legal requirements.

15. Exhibitors and Sponsors

Exhibitors and sponsors participate in BFE events under separate arrangements with the BFE or the organisation administering the relevant event.

The presence of an exhibitor or sponsor at a BFE event does not necessarily constitute an endorsement of its products, services, or claims by the BFE.

Exhibitors and sponsors are responsible for ensuring that their activities, materials, products, and representations comply with applicable laws and regulations.

16. Partner Organisations

The BFE may collaborate with local or regional organisations in connection with conferences and meetings.

A partner organisation may provide services such as:

  • registration administration;

  • payment processing;

  • local event administration;

  • venue coordination;

  • attendee support; or

  • other event-related services.

Where a partner organisation processes your registration or payment, you may be subject to that organisation's terms and privacy policy in addition to these Terms.

The BFE will identify the relevant organisation and arrangements where appropriate during the registration process.

17. Personal Information

Personal information collected during conference registration and participation will be handled in accordance with the BFE's Privacy Policy.

Where a partner organisation administers registration or payment, that organisation may separately process your personal information in accordance with its own privacy policy.

Event-specific information may explain how attendee information will be used for purposes such as registration administration, name badges, certificates, event communications, or other meeting-related activities.

18. Website and Third-Party Services

Conference registration may take place through a third-party registration platform or payment service.

Your use of third-party services may be subject to the terms and privacy policies of those providers.

The BFE is not responsible for interruptions or failures of third-party systems outside our reasonable control, although we will make reasonable efforts to assist attendees where appropriate.

19. Liability

To the extent permitted by law, the BFE will not be liable for losses arising from circumstances beyond our reasonable control or from the actions or omissions of third-party service providers.

Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.

20. Changes to These Terms

We may update these Terms from time to time to reflect changes to our conferences, registration arrangements, legal requirements, or operating practices.

The Terms applicable to your registration will generally be those in effect at the time you register, unless a subsequent change is required by law or is necessary to address an event-related circumstance.

The current version will be made available through the relevant meeting website.

21. Governing Law

These Terms are governed by the laws of England and Wales.

Nothing in these Terms affects any mandatory consumer protection rights that may apply to you under the law of the country in which you live.

Where registration is administered by a local partner organisation, additional contractual terms and governing-law provisions may apply to the transaction between you and that organisation.
